How we look after your information
What we collect through this website, why we need it, how long we keep it, and what you can ask us to do with it.
In short
- We only have what you choose to send us, and we use it to reply to you.
- We keep enquiries and appointment requests for six months, then delete them.
- No analytics, no advertising, no tracking. We never sell your details or use them for marketing.
- You can ask to see, correct or delete what we hold about you at any time.
Who we are
R-Space Child and Family Practice (“R-Space”, “we”, “us”) is a child and family therapy practice with rooms at 278 Glasnevin Avenue, Dublin 11.
We are the data controller for the information this policy describes. That means we decide how it is used, and we are responsible for looking after it.
For any question about your information, email office@rspace.ie or write to us at:

What this policy covers
This policy covers our website: the enquiry form, the appointment request form, the join our team form, emails you send us, and the basic technical records our web server keeps when you visit.
It does not cover clinical records. If you go on to work with us, we will explain separately how we keep the records of your therapy or assessment. Those are held under their own rules, not under this policy.
What we collect, and why
When you make an enquiry
The enquiry form asks for your name, your email address, how you would like us to contact you, and your message. Your phone number is optional. We use these details only to reply to your enquiry.
When you request an appointment
The appointment form asks for your name, mobile number and email address, how you would like us to contact you, who the appointment is for, and a short note about what you would like help with. If the appointment is for your child, it also asks for their first name and age.
You can also tell us what kind of support you are looking for, which practice suits you and when you are available, but you don’t have to. We use these details to get back to you and arrange a first conversation.
Telling us what kind of support you are looking for can say something about your health, or your family’s. That is why both forms ask you to keep detailed personal or clinical information for when we speak.
When you ask about joining our team
The join our team form asks for your name, your email address, what kind of role you are interested in, and a short note about your background and the work you would like to do. Your phone number, your profession and a link to an online profile are optional. We use these details only to consider your interest and get back to you. Please don’t send a CV through the form. If we take things further, we’ll ask for it by email.
When you email us
If you write to referrals@rspace.ie or office@rspace.ie, we receive your email address and whatever you write, and we use them to reply.
When you visit the website
Like almost every website, ours runs on a server that keeps a technical record of each visit: your IP address, the page you asked for, the time, and the type of browser and device you used. That record exists to keep the website working and secure. We don’t use it to identify you, and we don’t combine it with anything else we hold.
We don’t use analytics or advertising tools, and our website sets no cookies. It remembers one thing on your device, your answer about our maps, and our cookie policy explains it.
Our legal basis
Data protection law asks us to say what allows us to use your information.
- Enquiries and appointment requests: your consent, which you give by ticking the box before you send the form. Where what you send says something about your health, we rely on your explicit consent for that as well.
- Join our team enquiries: your consent, which you give by ticking the box before you send the form.
- Emails you send us: our legitimate interest in replying to people who write to us.
- The server’s technical records: our legitimate interest in keeping the website running and secure.
You can withdraw your consent at any time by emailing office@rspace.ie. That stops us using your details from then on. It doesn’t undo a reply we have already sent.
Who else handles your information
We don’t sell your information, and we don’t share it with anyone for marketing. Three companies handle it on our behalf, each only to provide the service named:
- OVHcloud (OVH SAS) hosts this website, on a server in its data centre in Gravelines, France. When you send a form, it travels over an encrypted connection to that server, which sends it on to us as an email and keeps no copy of what you wrote.
- Namecheap, Inc. delivers that email to our practice inbox, through its mail server in Amsterdam, the Netherlands.
- Google, through its Google Workspace service, provides our practice email. It holds the emails you send us, the forms you send through our website, and the replies we send you.
Apart from our email, Google only receives anything from our website if you allow the maps on our Home or Appointments page. The cookie policy explains what happens then.
Outside the EU
Our website’s server is in France, run by a French company, and the mail server that delivers your form is in the Netherlands. Namecheap is a US company, though, and its terms allow it to process data in the United States. So we can’t promise that every copy of what you send stays inside the EU, and we would rather tell you that than imply otherwise.
Google, which provides our email, can also process data outside the EU, including in the United States.
Where either company moves your information to the United States, it relies on a safeguard that EU law recognises. Google is certified under the EU-U.S. Data Privacy Framework, and Namecheap uses the European Commission’s standard contractual clauses.
How long we keep it
- Enquiries and appointment requests: six months from when we receive them, and then we delete them. If you become a client, what we need moves into your client record and is kept under the rules for that record instead.
- Join our team enquiries: six months from when we receive them, and then we delete them, unless you join us.
- Emails: the same six months, unless you become a client.
- The server’s technical records: two weeks, and then they are deleted.
Your rights
You can ask us to:
- give you a copy of the information we hold about you
- correct it if it’s wrong
- delete it
- stop or limit how we use it, or object to our using it
- give it to you in a format you can take elsewhere.
You can also withdraw your consent at any time. To do any of these, email office@rspace.ie. We will reply within one month, and there is no charge.
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Data Protection Commission, Ireland’s data protection regulator, at dataprotection.ie or 6 Pembroke Row, Dublin 2, D02 X963.
Keeping it safe
Every page of this website, and every form you send from it, travels over an encrypted (HTTPS) connection. Only the people at R-Space who need what you send in order to reply to you can see it.
Changes to this policy
If we change how we handle your information, we will update this page and the date at the top before the change takes effect.
